Family Admin Checklist: Every Date Worth Tracking

By Papyrus Digital · Updated · 9 min read

A family admin checklist is a list of every recurring date a household has to act on: passports and licences, vaccinations and checkups, smoke alarms and boiler services, car tax and inspections, insurance renewals, school deadlines and free trials. Most run on fixed intervals, so each can be set up once with a reminder that arrives in time to act.

Dates slip when there are too many of them and nothing reminds you at the right moment. For each item below you get the typical interval, with the official source, and a suggested reminder: how long before the date you want to hear about it.

How do you choose a reminder lead time?

A good lead time is the time the task takes, plus a buffer. Cancelling a free trial takes minutes, so two or three days is enough. Renewing a passport takes weeks, and many countries want six months of validity left, so the reminder needs to come months ahead. The suggestions below follow that logic; choosing reminder lead times goes deeper.

Which document dates should a family track?

Date Typical interval Suggested reminder
Adult passport 10 years in the US and UK 9 to 12 months before expiry
Child passport (under 16) 5 years in the US and UK 9 to 12 months before expiry
Visas and residence permits Set by the issuing country When the renewal window opens
UK driving licence photocard Every 10 years, with different rules at 70 and over 2 months before
US driver's license Set by your state (find your DMV) 2 months before

Passports deserve the longest lead time on this list. The six-month validity rule means a passport effectively expires for many destinations half a year early, and a US child passport cannot be renewed, so you apply again every five years. In the UK, DVLA sends a reminder before a photocard licence ends, and an online renewal should arrive within a week.

Which health dates should you track?

Date Typical interval Suggested reminder
Children's vaccinations Follow the official schedule: CDC (US), NHS (UK) 2 to 4 weeks before each due date
Adult tetanus booster Every 10 years (CDC) 1 month before
Flu vaccine Every season for everyone 6 months and older (CDC); yearly in the UK for eligible groups such as adults 65 and over and children from age 2 to the end of Year 11 (NHS) Early September
Repeat prescriptions When supply runs low; the NHS says to request up to 5 working days before you need the medicine 7 days before running out
Dental check-up Set by your dentist; NHS maximum intervals are 24 months for adults and 12 months for children 1 month before
Eye test Every 2 years on the NHS, or more often if your optometrist recommends it 1 month before

The CDC says September and October are generally good times for a flu vaccine, which is why early September works as a reminder. Vaccine schedules are revised from time to time, so check the current official version and your doctor's advice rather than an old printout.

Which home dates are easy to miss?

Date Typical interval Suggested reminder
Smoke alarm test At least once a month (NFPA) Same day each month
Smoke alarm replacement When the alarm is 10 years old (NFPA) 1 month before
Boiler and gas appliance service (UK) At least once a year by a Gas Safe registered engineer (HSE) 1 month before
Heating and cooling check (US) Cooling system each spring, heating system each fall; air filters checked monthly (ENERGY STAR) 1 month before each season
Home insurance renewal At each renewal, usually yearly 3 to 4 weeks before
Product warranties Set by the manufacturer, on top of your legal rights 1 month before the warranty ends

UK fire and rescue services give similar advice. Hampshire and Isle of Wight Fire and Rescue Service, for example, says to test once a month, change the battery once a year unless it is a ten-year alarm, and replace most alarms every 10 years.

For insurance, UK rules from the Financial Conduct Authority require insurers to send your renewal price and last year's price in good time before renewal, and for home and motor insurance a renewal price cannot be higher than the equivalent price for a new customer. A reminder three to four weeks out gives you time to compare.

For warranties, your legal rights often outlast the paper. In the EU you have a minimum 2-year guarantee from delivery. In the UK, customers have up to 6 years to make a claim for a faulty item (5 years in Scotland). Keep receipts with the date of purchase.

Which car dates need reminders?

Date Typical interval Suggested reminder
UK MOT By the third anniversary of registration, then every year 1 month before
UK vehicle tax Paid for 12 or 6 months at a time 2 weeks before
US registration renewal Set by your state (find your DMV) 1 month before
US safety or emissions inspection Required in some states; set by your state 1 month before
Car insurance At each renewal, usually every 6 or 12 months 3 to 4 weeks before

The one-month MOT reminder lines up with the rules: GOV.UK says you can get an MOT up to a month (minus a day) before it runs out and keep the same renewal date, and driving without a valid MOT can bring a fine of up to £1,000.

What school dates should you track?

Date Typical interval Suggested reminder
Secondary school application (England) Closes 31 October 1 month before
Primary school application (England) Closes 15 January 1 month before
Forms and permission slips Set by the school 3 days before
Trip payments and fees Set by the school 1 week before
Health and medical forms Usually before term starts 2 weeks before

As of this article's date (23 October 2026), the 31 October secondary deadline is days away. GOV.UK notes that a child is less likely to be offered a place at their chosen schools if the deadline is missed. In the US, enrolment and registration deadlines are set by each school district.

Which money dates cost the most when missed?

Date Typical interval Suggested reminder
Free trials The day the trial turns into a paid plan 2 to 3 days before
Yearly subscriptions Each renewal date 1 to 2 weeks before
Monthly subscriptions Each billing date Review all of them once a quarter

Free trials are the shortest-notice item on this list: they take seconds to start, and nothing reminds you when they end. The guide to cancelling a free trial on iPhone shows where to find each one.

How do you set this up in one sitting?

  1. Gather what you have: passports, licences, insurance schedules, MOT or registration papers, warranty cards and receipts.
  2. Write down each date and whose it is.
  3. Pick a lead time from the tables above.
  4. Add the next date as soon as you finish a recurring task: the next MOT, the next dental check-up, the next alarm test.
  5. Keep everything in one place. Dates scattered across emails, drawers and calendars are the ones that slip.

The idea behind this, a second memory that holds dates so your head does not have to, is explained in how to stop forgetting important dates.

How Deadlinr helps

Deadlinr stores each of these as one item with one date, in categories such as Documents, Medicine, Subscriptions and Other, or a custom category for the car or the house. Reminders default to 7 days, 3 days and 1 day before, and on the day, at 9:00 AM, with an optional 14-day reminder, and you can edit them per category. For long-lead items such as passports, enter the date you want to start acting rather than the expiry date. A Lifetime purchase can be shared through Apple Family Sharing with up to six people, and each person keeps their own private list. The document expiry tracker page has more detail.
